Administrator – Load Shifting

About the role

The Administrator, Load Shifting provides essential administrative and logistical support to the Main Planner and the maintenance team. Working within the Work Management Process, this role ensures that data, documentation, and coordination are accurately maintained so that technical planning can focus on strategy and long‑term scheduling.

Key responsibilities

• Data & Forecast Support: capture daily machine engine hours, update equipment history in the CMMS (Pronto/BBX), and monitor work‑order status from request to completion.
• Documentation & Work Packs: compile comprehensive work packs including JSA, SOP and SWI documents; manage printing, filing and distribution of technical drawings, photographs and vendor manuals.
• Parts & Materials Administration: obtain quotes, complete ANSI forms for new spare parts, track delivery status with the warehouse and ensure timely return or re‑allocation of parts from staging areas.
• Backlog & Schedule Coordination: flag aged work orders, arrange weekly planning meetings and assist in releasing approved work orders.
• Reporting & KPIs: collate data for weekly and monthly reports, ensuring compliance with the Work Management Process.
• Continuous Improvement: support updates to technical procedures and record variances between actual performance and estimates.

Required profile

• Proven experience in administrative support within maintenance, operations or planning environments.
• Strong attention to detail and ability to maintain accurate records and documentation.
• Excellent organizational skills with the capacity to coordinate multiple stakeholders.

Required skills

• Proficiency with a Computerised Maintenance Management System (CMMS) such as Pronto or BBX.
• Ability to complete and manage ANSI forms for spare‑part identification.
• Familiarity with preparing work packs, JSA, SOP and SWI documentation.
