About the role
The Records Clerk is responsible for managing, archiving, and distributing company documents across all departments, including Sales, Transportation, and Procurement. This position demands high confidentiality and ensures that all records are accurate, traceable, and securely maintained to support daily operations.
Key responsibilities
- Classify, register, number, and archive documents, contracts, reports, drawings, and other materials from all departments.
- Maintain electronic and physical document management systems with version control and easy retrieval.
- Circulate documents between departments according to company processes and access permissions.
- Conduct preliminary reviews of document completeness and accuracy, coordinating with relevant teams.
- Handle commercial secrets and sensitive information with strict confidentiality and control access.
- Assist various departments in accessing required documents efficiently.
- Participate in improving document management processes for better cross‑department collaboration.
- Generate periodic reports on document management and ensure compliance with policies and regulations.
Required profile
- Bachelor’s degree or higher, preferably in Document Management, Administrative Management, Secretarial Studies, or related fields.
- 1 to 3 years of experience in document or records management; cross‑departmental experience is a plus.
- Strict adherence to information security and confidentiality policies.
- Ability to manage multiple tasks and meet deadlines.
Required skills
- Proficiency in Microsoft Office.
- Experience with document management systems.
