Document Control Specialist – Archiving & Records Management

About the role
The Document Control Specialist will manage, archive, and distribute company documents and records across all departments, ensuring confidentiality, accuracy, and traceability to support operational efficiency.
Key responsibilities
- Classify, register, number, and archive documents, contracts, reports, drawings, and other materials from all departments.
- Maintain electronic and physical document management systems with version control and easy retrieval.
- Circulate documents between departments according to processes and access permissions, conducting preliminary reviews for completeness and accuracy.
- Handle sensitive commercial information with strict confidentiality and control access based on job responsibilities.
- Assist sales, transportation, procurement, and other departments in accessing required documents efficiently.
- Generate periodic document management reports and ensure compliance with company policies and regulations.
Required profile
- Bachelor’s degree or higher, preferably in Document Management, Administrative Management, Secretarial Studies, or related fields.
- 1–3 years of experience in document or records management; cross‑departmental documentation experience is a plus.
- High confidentiality awareness and strong sense of responsibility for handling sensitive information.
- Excellent communication and coordination skills across departments.
- Detail‑oriented with a focus on document accuracy and integrity.
Required skills
- Proficiency in Microsoft Office.
- Experience with document management systems.
- Familiarity with document control processes, archiving standards, and version management.
